FIBA WOMENS BASKETBALL WORLD CUP 2022 

The FIBA Women’s Basketball World Cup is the world’s largest international women’s basketball competition and one of the most prestigious titles in the sport. This major event will feature the world’s best players representing 12 basketball powerhouse nations from across FIBA’s regions – Asia & Oceania, Americas, Africa, and Europe. 

ABOUT FIBA 

The Federation International Basketball (FIBA) is the association of National Federations which governs the sport of basketball worldwide. Following a competitive bid, Basketball Australia and the NSW Government were awarded the rights to host the FIBA Women’s Basketball World Cup 2022 at Sydney Olympic Park from 22 September to 1 October 2022. 

FIBA WOMENS BASKETBALL WORLD CUP 2022 LOCAL ORGANSING COMMITTEE 

Basketball Australia partnered with NSW Government through its major events and tourism agency, Destination NSW, and  the Office of Sport to win the rights in March 2020 to host the Women’s Basketball World Cup as part of the NSW  Government’s 10 World Cups in 10 years initiative. Basketball Australia established a Local Organising Committee, as a  wholly owned subsidiary, to deliver this prestigious event. This World Cup will be one of the first major international events to be held in Australia in 2022 (22 September to 1 October 2022) and comes at an unprecedented time for our country,  following devastating bushfires and COVID-19 pandemic. This global sporting event will contribute to Australia’s long-term recovery due to the economic and social benefits this event will deliver, along with continuing the powerful message of gender equality and focus on women’s sport. 

We want this event to reimagine and reinvigorate Basketball, and specifically Women’s Basketball, in Australia and the  Region. We want to create an atmosphere that is cool, edgy and funky with activations, communications and promotions  in the lead up and during to the event that achieves our vision of igniting the passion for women’s basketball globally.

BE PART OF THE TEAM: ADMINISTRATION MANAGER / EXECUTIVE ASSISTANT 

Reporting to the General Manager – Finance and Business Operations of the Local Organising Committee (LOC), the primary role of the Administration Manager / Executive Assistant is to provide administrative support to the FIBA Women’s  Basketball World Cup 2022 Local Organising Committee. Executive Assistant experience is necessary to excel in this role,  and strong organisational and time management skills is a must along with a can-do attitude. 

The role requires an individual to provide a diverse range of high-level executive support and administrative services to the  CEO and Executive team with a proven ability to communicate with a diverse range of stakeholders and their offices. Ideally,  you will understand and have experience across major event delivery and the sport business environment. 

We are looking for someone to utilise their excellent administrative and time management skills to ensure the smooth and professional operation of the office and team through the provision of key support functions. This includes proactive calendar management, efficient prioritisation of competing tasks, facilitating team communication and workflows, managing activities to timelines, applying sound judgment in a fast-paced environment, and building the necessary relationships to successfully perform the role. 

KEY RESPONSIBILITIES 

The Administration Manager / Executive Assistant will be expected to: 

  • Provide efficient, professional delivery of administrative, secretarial, and business support to the CEO of the Local  Organising Committee 
  • Participation in Leadership Team meetings – coordinating agendas/minute taking 
  • Looking after and assisting in recruitment and on boarding of new staff 
  • Calendar management – scheduling meetings, managing correspondence, and ensuring an effective use of time Providing superior and executive level of support – always maintaining a professional approach (both internally  and externally) and a high level of confidentiality
  • Reconciliation of monthly invoices and expenses for the team ensuring adherence to policies Prepare the invoices for payment monthly – facilitate approvals, provide reporting, submission to accounting for  processing and creation of payment requests 
  • Follow all month end accounting procedures and provide updates as required – proactive management to ensure  completion within required timelines  
  • Coordinating meetings with the board/advisory committees – scheduling meetings/minute taking/record keeping  of board and committee papers  
  • Coordinating meetings with internal/external stakeholders – liaising with their offices/meeting room bookings Arranging workshops/site visits/functions/offsites/team building events (including catering where required) Creating documents such as reports, templates, presentations, and communications and proactive initiation of  recurring report requirements 
  • General administrative tasks including filing, shared folders, record keeping, printing, binding, etc. 

SELECTION CRITERIA 

In addition to demonstrating relevant experiences across the core functional areas of responsibility identified in this  Position Overview, candidates applying for the Administration Manager / Executive Assistant role will require a range of  personal and professional skills, including: 

Essential 

  • At least five years’ experience in a similar role, with executive assistant and office administration experience Demonstrated Executive Assistant experience to a CEO or General Manager (ideally to a CEO) Advanced computer skills with proficiency in the Microsoft Office suite, and accounting software (ideally Xero) Strong written and verbal communication skills with proven experience in working with external stakeholders  Experience in creating documents such as reports, presentations, and communications  
  • The ability to manage workflow, priorities, work well under pressure and be flexible 
  • High level of professionalism – face to face, over the phone and through correspondence 
  • Demonstrated experience in working in a team environment 
  • The ability to form strong business relationships 
  • Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to  provide excellent customer service 
  • Experience with IT services will be highly regarded 

Desirable 

  • Knowledge of the sport of basketball 

LOCATION 

Flexible working arrangements will be discussed however the FWBWC22 LOC office will relocate to Sydney Olympic Park in  late 2021. 

HOURS OF WORK 

Due to the nature of the position, weekend work and extended hours may be required from time to time. 

REMUNERATION 

The remuneration package is negotiable depending upon skill level and experiences.  

TIMELINES 

Interviews will occur in July/August 2021. It is expected that the Administration Manager will commence in August 2021. 

TERM 

The successful candidate will be employed under a contract of service to 28 October 2022. This is subject to funding and may be extended. In addition, a three-month probationary period will be included in the contract.
